As-Built vs Existing Conditions vs Record Drawings vs Field Measure

Four terms get thrown around as if they mean the same thing, and they do not. As-built drawings show a completed building as it was actually constructed. Existing conditions document a standing building as it stands today, before you touch it. Record drawings are the architect-stamped historical set. Field measure is one method of collecting the dimensions behind any of them. Mixing them up is how a project ends up with the wrong deliverable in hand. The short version
If you own or manage a building that already exists and you are about to renovate, retrofit, or design against it, the term you want is existing conditions. That is documentation of what is physically there right now, measured on site. What is an as-built drawing?
An as-built drawing is a construction drawing revised to reflect every modification, substitution, and deviation made during construction, so it represents the building as it was actually built rather than as it was originally designed. When a wall moved four inches to clear a duct, or a contractor substituted a different beam, the as-built captures that reality. As-builts are typically produced through field verification, measuring what is really there, and the responsibility usually sits with the contractor. Their purpose is to hand the owner an accurate record of the finished work for operations, maintenance, and the next project.
What are existing conditions?
Existing conditions are the documented current state of a standing building, produced before a renovation or new design begins. Where an as-built is created at the end of construction to record what was just built, existing conditions are created at the start of a new project to record what is already there, walls, structure, mechanical systems, and the dimensions that a designer will build against. In practice this is what most owners and architects are actually buying when they say they need "as-builts" for a renovation. The output is often called a measured drawing, and it is derived from measurements taken of the building as it currently stands. What are record drawings?
Record drawings are the architect-approved version of the as-built set, the clean, professionally drafted drawings the design team stamps and dates as the official record after construction is complete. They are a subset of as-built documentation: the contractor marks up field changes, and the architect of record produces the finished, coordinated set from them. Record drawings are expected to represent a complete drawing set, not just the sheets that changed. One caveat is worth knowing before you rely on them for a renovation: record drawings are known to miss a meaningful share of field changes, especially hidden elements like mechanical, electrical, and plumbing routing behind walls. A set of record drawings from 1998 is a starting reference, not a substitute for measuring what is there now.
What is field measure?
Field measure is a method, not a document. It means going to the building and collecting dimensions, and it sits underneath all three of the drawing types above. The method matters because it sets the accuracy of everything drawn from it. Manual field measure with a tape and a laser distance meter typically lands within about 10 to 25 mm. A laser scan captures millions of points and typically holds 2 to 4 mm, and it records actual geometry continuously rather than a set of selected points with straight lines assumed between them. That difference is the whole reason a bowed wall or a sloping floor shows up in a scan and disappears in a hand measure. A traditional measured survey is not automatically wrong, and on a simple building with only floor plans needed it can be enough. Which one do you actually need?
You already know your project. If you are documenting a building you just finished, you want as-builts. If you are designing into a building that already exists, you want existing conditions, and the accuracy you need is set by how the data gets used downstream. If you are pulling the official history off the shelf, you want record drawings, with the understanding that they may not match the field. Questions buyers actually ask
Are as-built and record drawings the same thing?
No. As-builts are the field-marked record of construction changes, usually the contractor's responsibility. Record drawings are the clean, architect-stamped official set produced from them. Record drawings are a subset of as-built documentation.
I need "as-builts" for a renovation. Is that the right term?
Usually what you need is existing conditions: documentation of the building as it stands today. The word as-built is often used loosely for this, and either way the work is measuring the standing building accurately.
Can I just use the old record drawings?
As a reference, yes. As the basis for design, be careful. Record drawings miss a meaningful share of field changes, especially hidden MEP behind walls and above ceilings. Verify against current conditions before you rely on them.
Is field measure less accurate than a scan?
Manual field measure typically holds about 10 to 25 mm; a laser scan typically holds 2 to 4 mm and records continuous geometry. On simple buildings hand measure can be enough. On complex or MEP-dense buildings, the scan is what keeps the record honest.
